Office Support Specialist – Academic Affairs

The Illinois Board of Higher Education is currently accepting applications for a full-time Office Support Specialist in Springfield. This position provides secretarial support to the Deputy Director and 9 other staff members, which involves keyboarding documents such as correspondence, board items, and reports; maintaining filing system; maintaining and updating databases; arranging conference calls; and registering staff for conferences.

This position is subject to the rules and regulations of the State Universities Civil Service System (www.sucss.illinois.gov).

Education and Experience Required:

  1. High school graduation or equivalent.
  2. Twelve months of clerical/office support work experience in positions of comparable responsibility.
  3. Any one or combination totaling 24 months from the following categories: (a) work experience performing clerical/office support work, including use of computer systems; (b) vocational training that provided a knowledge of generally accepted clerical procedures; (c) college or university course work in Office Occupations, Business Administration, Business Education, or closely related fields (36 semester hours = 24 months); (d) college or university course work in any curriculum (60 semester hours = 24 months).

All applicants meeting the minimum requirements must successfully complete examinations for this position.\

Desired Skills and Traits:

  • Excellent computer skills
  • Proficient in using Microsoft Office software (Word, Excel, and Outlook)
  • Keyboarding at 40 net wpm
  • Excellent interpersonal and communication skills
  • Attention to detail

Office Support Associate - Academic Affairs and Diversity & Outreach

The Illinois Board of Higher Education is currently accepting applications for a full-time Office Support Associate in Springfield. This position works with the Office Support Specialist to provide office support for the Academic Affairs staff. In addition, supports a Deputy Director and Associate Director for Diversity & Outreach. Responsibilities include keyboarding documents such as correspondence, board items, and reports; maintaining filing system; maintaining and updating databases; arranging conference calls; and registering staff for conferences.

This position is subject to the rules and regulations of the State Universities Civil Service System (www.sucss.illinois.gov).

Education and Experience Required:

  1. High school graduation or equivalent.
  2. Any one or combination totaling 18 months from the following categories: (a) work experience performing clerical/office support work, including use of computer systems; (b) vocational training that provided a knowledge of generally accepted clerical procedures; (c) college or university course work in Office Occupations, Business Administration, Business Education, or closely related fields (30 semester hours = 18 months); (d) college or university course work in any curriculum (48 semester hours = 24 months).
